Stretch Tent Setup & Logistics — What to Expect When You Hire

There's a lot to think about when planning an outdoor event — whether it's a garden party, wedding, milestone birthday or a summer celebration. A stretch tent is one of the most flexible and striking structures you can choose, but like any professional installation there are a few practical things worth knowing in advance. Here's a straightforward guide to how the process works, so there are no unwanted surprises on the day.

The space

Stretch tents are designed to work with your environment rather than against it. Trees, posts, uneven ground, awkward garden shapes — these are all things we work around regularly. That said, a bit of context on your space helps us plan the right setup from the start.

Grass

For installations on grass we typically use ground stakes of around 1.2m in length to keep the tent rigging safely anchored, even in higher winds. At Springbok, we run a 'dial before you dig' check before any stakes go in, to identify underground utilities — pipes, electric cables or drainage runs. We'll mark these out in advance so the installation avoids anything it shouldn't touch. This is something we handle as part of our process, so you don't need to worry about arranging it yourself. It's always a good idea to give the grass a mow in the 1-2 weeks beforehand, to ensure it's comfortable underfoot and safe for furniture.

Hard standing

Stretch tents can also be set up on concrete, decking, patios and other hard surfaces. Rather than ground stakes, we use a combination of rigging points on surrounding structures — walls, buildings, fences — and ballast weights where needed. Hard standing installs do require a bit more planning and specialist equipment to ensure a safe and secure setup, which is why we always recommend a site visit in advance for these.

Access

Getting the equipment in and out is straightforward. The tent canvas packs down into a bag, and along with the poles, lighting and any decor it can all be transported on trolleys by our team. You just need a clear access route — a standard garden gate or side passage is usually sufficient. If your access is particularly narrow or involves steps, let us know when you enquire and we'll factor it in.

The process

Site visit

Whether it's a wedding, garden party, or other event, we'll always aim to arrange a site visit ahead to asses the venue. This gives us a chance to see the space in person, take measurements, identify the rigging points and work through the setup plan with you. It also means our team arrives on installation day knowing exactly what they're doing rather than figuring it out on the spot — which makes the whole process faster and smoother for everyone.

For larger or more complex installs — particularly on hard standing, sloped ground or unusual spaces — a site visit isn't just useful, it's essential. For more straightforward grass setups we can often work from photos and measurements if a visit isn't practical.

Installation timing

For a typical weekend event our team would usually install the tent in the one or two days prior and return to break it down in the one or two days after. This gives you plenty of time to add your own finishing touches — flowers, table settings, decorations — well before guests arrive, without the tent installation happening around you on the morning of the event.

We'll always work around your preferred schedule as much as possible. If you need the tent up a specific number of days in advance, or have a particular collection time that works for your venue, let us know when you book and we'll plan around it.

One supplier for everything

We supply furniture, lighting, matting, dancefloors, whiskey barrels and heating alongside the tent itself — all delivered and set up by the same team at the same time. This means you're coordinating with one supplier rather than five, everything arrives together, and there's one point of contact if anything needs adjusting on the day.

After the event

Once your event is done, our team returns at the agreed time to break down and collect everything. You don't need to do anything with the tent itself — no folding, no cleaning, no packing. We handle all of it.

The one thing we do ask is that if you've used your own suppliers for catering, furniture or anything else, their equipment is cleared away before our team arrives for collection. This lets us work efficiently and avoids any risk of damage to third party equipment during the breakdown.

How far in advance should you book?

The honest answer — as early as you can. Summer weekends in particular fill up quickly, and popular dates can book out months in advance. Booking early also gives us the time to arrange a site visit, work through the setup plan properly, and make sure everything is in order well ahead of your event.
